In the blink of an eye it’s October, and the year is coming to an end. 2020 might have been different than we expected, but event companies are starting to plan their calendar for 2021 events!
The job of an event planner is to expect the unexpected. It can be a scramble to contain the logistics around cancelled, postponed or constrained functions. Here are some expert tips for event planners and event attendees as the optimistic 2021 approaches us.
- Keep up with the latest health information.
- Codes and health precautions are constantly changing. Bottom line, you can’t put on an event if you aren’t following the government’s regulations. Check with your state health authorities and closely monitor the rapidly changing coronavirus threat to your community. Ask for clear recommendations and criterion for when events should be canceled and under what circumstances. To find accurate information, visit the CDC website for a clearly outlined rule book of what is and isn’t safe for your upcoming event.
- Communicate with vendors and sponsors.
- Vendors and sponsors are what helps make StarEvents festivals so great! It is important to keep a close relationship with them and be open with any situation. Surely they will understand and appreciate the open line of communication. If they have already made a commitment to a specific festival or event, see if they would be willing to postpone their spot or sponsorship packet until the future event date. Be flexible with their payment deadline and listen to their concerns.
- Communicate clearly to attendees and volunteers
- As important it is to keep a good connection with your behind the scene clients, it is equally as important to do the same with your attendees and volunteers! Be as clear as you can about the state of your event, and what instructions to take for ticket refunds and vouchers. Their comfort should be your number one priority. Be as transparent as you can to your audience for less confusion and conflict.
- Experiment with new socially distant strategies
- Covid can limit you, but don’t let it stop you! There are still ways to create a fun and engaging event. Try a virtual or outdoor experience- there are plenty of ways to create a crowd free event. Think outside the box for your future plans.
- Take precautions and promote a healthy environment
- If you aren’t going to let Covid stop you from planning fun and safe events, make sure you share with your audience health and safety tips before the event. This can include,
- Always wearing a mask or face covering
- Staying home when you or family members are not feeling well
- Covering coughs and sneezes
- Avoiding handshakes
- Avoiding touching the nose, eyes and mouth with unwashed hands
- Washing hands often, or using hand sanitizer.
